Scope of tasks performed by the Research and Scientific Projects Department includes providing organizational services for the scientific research process and development of the staff as well as cooperation with directors of institutes, deans of faculties and managers of support organizational units of the University. In particular the primary tasks include supervising the process of evaluation of quality of scientific activity and academic advancement, managing affairs related to sabbatical leaves, maintaining register of open and concluded doctoral and post-doctoral proceedings, supervising activities related to patents as well as preparing all operations and initiatives related to science and advancement of staff.

  • Academic leave of absence

    Pursuant to Article 130 of the Law on Higher Education and Science Act dated 20 July 2018,

    • 79 Section 2of the Statute of the University of Szczecin(Annex to the Resolution no 58/2019 of the Senate of the University of Szczecin dated 30 May 2019 on the adoption of the Statute of the University of Szczecin),
    • 69of the Ordinance no 190/2021 of the Rector of the University of Szczecin dated 15 September 2021 on the adoption of the Labour Regulations of the University of Szczecin:
    1. The Rector may grant an academic teacher:
      1) holding a PhD degree at least, within the period of 7 years of employment at a given university – a few paid academic leaves of absence within a year in total, for the purpose of conducting research,
      2) preparing a PhD dissertation – a paid academic leave of absence within the limit of 3 months,
      3) a paid leave for the purpose of undergoing education, academic or teaching internship abroad, participating in a conference or participating in joint scientific research conducted with a foreign entity on the basis of a scientific cooperation agreement,
      4) a paid leave for the purpose of participating in joint scientific research conducted with the Łukasiewicz Center or an institute of the Łukasiewicz network.
    2. 2The leave defined in Section 1 point 1 shall be granted in the following cases:
      1) managing an external research grant that requires work outside the university,
      2) implementation of a research topic, related to the preparation of scientific achievements for habilitation or professorial proceedings, which cannot be conducted at the University,
      3) research stay at a foreign scientific unit,
      4) in other cases especially justified by the interests of the University.
    3. Leaves, referred to in Section 1, are granted by the employer at the justified application of the academic staff member including the schedule of tasks planned to be performed and authorised by the Director and Scientific Council of the Institute, which the academic staff member is assigned to.
    4. After the end of the academic leave of absence, the academic teacher is obliged to submit to the Vice-Rector for Science a report on the achieved scientific effects planned in the application, including the impact of the effects on the evaluation of the scientific discipline, which the academic staff member is assigned to, authorised by the Director and Scientific Council of the Institute, which the academic staff member is assigned to.
    5. An academic staff member with additional employment or running a business cannot apply for an academic leave of absence.

    Tasks of Research Support Units include rendering administrative services to directors of appropriate institutes, deans of faculties and science councils, in particular supervising and organizing ongoing affairs, receiving, registering and dispatching correspondence, supervising and organizing cases related to domestic scientific internships, preparing reports regarding scientific operations of an institute or a faculty, providing aid in developing schedule for scientific research, financial handling of an institute or a faculty, processing cases related to academic advancement as well as preparing documentation related to holding contests for the position of an academic teacher.

  • Scientific activity statements for new employees

    With regard to the start of employment at the University of Szczecin, we would like to kindly inform, that every newly employed academic staff member should:

    1. Set up the ORCID scientist’s electronic ID number on the website https://orcid.org/ (applies to people who do not yet have an ORCID number)
    2. Link the ORCID number with the account in the Polish Scientific Bibliography system (PBN) and the account in the POL-on system by means of an individual account in the PBN system on the website https://pbn.nauka.gov.pl/

    The link should take place after the employment contract is signed but before the submission of the signed statements to the Research and Scientific Projects Department. Technological support regarding the ORCID ID is provided by: the Department of Scientific Monitoring – Section of Bibliometry – the Main Library of the University of Szczecin

    3. Submit appropriate statements related to scientific activity:

    • Field and Discipline Statement
    • Statement for the Inclusion in the N Number
    • Authorising Statement of the University of Szczecin to Demonstrate the Academic Staff Member’s Academic Achievements

    Statement forms with the commencement date of employment are printed by the Human Resources Department when concluding an employment contract and handed over to the newly employed academic staff member for completion.

    Deadlines for submitting statements have been specified in the procedure for submitting scientific statements at the University of Szczecin constituting Annex no 8 to the Ordinance no 117/2021 of the Rector of the University of Szczecin dated 31 May 2021 

    The newly employed academic staff member submits a statement within 14 days from the date of employment. The statements must be entered by the Research and Scientific Projects Department into the POL-on IT system and Comarch ERP Egeria.

    ATTENTION: due to the blockade set by the IT system, it is not possible to enter statements after 30 days from the date of submitting the statement (namely the date in the upper right corner of the statement form). The submission of statements obligatorily requires prior approval of the appropriate director of the institute or the directors of the institutes.

    The completed and signed original versions of the statements as printouts shall be submitted to the Research and Scientific Projects Department, al. Papieża Jana Pawła II 31, 70-453 Szczecin, room 019 ground floor (exceptionally, during the absence of an academic staff member in the indicated room, it shall be submitted to room 008 ground floor). Original versions of the statements as printouts may also be sent by post to the above-mentioned address.

    The Research and Scientific Projects Department solely accepts original versions of the statements as printouts for further processing. Submitting a photocopy or sending a scan of the statement by the academic staff member will be treated as a formal irregularity subject to notification in the notice of irregularities to the academic staff member and the director of the institute or the directors of the institutes.
